Apprenticeship builder & submissions

You need to complete and submit a draft occupation proposal, occupational standard or end-point assessment (EPA) plan using apprenticeship builder.

The only exceptions to this are below, where you should submit a ‘word’ version of a document via the relevant submissions portal:

  • revisions to a published occupational standard, except where adding an option or options
  • revisions to a published EPA plan
  • end-point assessment (EPA) plans already drafted before apprenticeship builder became available, with the agreement of your relationship manager (RM)

Your RM must confirm that your draft is ready for consideration before you submit it at each stage. Subject to this, you can submit a draft at any time and we will consider it after the next submissions deadline date.

1. Using apprenticeship builder

Apprenticeship builder has different parts covering the information you need to provide in relation to an occupation proposal, occupational standard and EPA plan. You will need to complete each part as you go through the apprenticeship standard development stages. You can open up the different parts of apprenticeship builder as required, move backwards and forwards through it and save a document in draft before you submit it. You can upload relevant documents to support your submission, including delivery quotes.

The first time you save a document you will receive an email containing a link to your apprenticeship builder, which you continue to use to access it. Every time you save a draft, a Word file will be available for you to download on the confirmation page. This will enable you to circulate versions and track changes outside of apprenticeship builder if you wish. For occupation proposals and occupational standards the final draft will need to be entered back into apprenticeship builder prior to submission. For EPA plans completing the necessary fields in apprenticeship builder will generate a draft word EPA plan, which merges your text with set wording. You will then need to finesse this before uploading into apprenticeship builder as a word document for submission.   

Apprenticeship builder includes basic guidance on how to complete it and links to guidance. Where the same information is needed for different stages, you will only need to enter it once and it will automatically populate subsequent parts (except in cases where submissions relating to earlier stages were on our pre-March 2018 form).

Your RM must confirm that your draft is ready for consideration before you submit it at each stage. Subject to this, you can submit a draft at any time and we will consider it after the next submissions deadline date.

We advise that you start entering information into apprenticeship builder well in advance of your chosen deadline, as it will help ensure that you provide all the necessary information and evidence in the right format at the right time.

Any draft documents that are returned for further work will need to be amended in apprenticeship builder and re-submitted.

2. Revisions/submissions not using apprenticeship builder

We intend that revisions to published occupational standards and EPA plans will ultimately be submitted via apprenticeship builder however, this functionally is not currently available. For revisions, you need to submit a ‘word’ version of the document via the relevant submissions portal. Changes should be clearly highlighted and an explanation of the reasons for the amendment(s) provided. You should consult where your changes are likely to impact employers outside the trailblazer group or wider stakeholders, including end-point assessment organisations. Consultation outcomes will be considered by the route panel. You will also need to verify on your submission that all members of the trailblazer group have agreed on the proposed changes.

Where you are seeking to add an option to an existing core and options standard (that has already been approved for delivery) you need to submit an occupation proposal using apprenticeship builder, rather than submit a revision.

End-point assessment (EPA) plans already drafted before apprenticeship builder became available can also be submitted via the submissions portal, with the agreement of your relationship manager (RM).

3. Submission deadlines

4. Submission checklists

For all submissions:

  • check all the information requested has been provided
  • ask your RM to confirm it is ready for consideration

For occupation proposals:

For EPA plans attach:

Amendment submission checklist:

  • check the submission meets all the current requirements
  • check all changes to the published version are highlighted
  • attach details of the changes made, that is the published version with changes highlighted
  • provide an explanation of the reasons for the amendment(s)
  • attach funding evidence forms (if required) – see providing costing information and allocating a funding band
